AI Ethics Statement of hAiner GmbH

1. Our Principles

At hAiner, we develop AI-powered software solutions that help companies capture implicit knowledge and make it sustainably usable. Ethical principles, data protection, and responsibility toward our clients and their employees are at the center of our work.

2. No Use of Customer Data for AI Training

Content provided by our clients (texts, files, voice data, etc.) will never be used to train or further develop external AI models. Customer data remains exclusively the property of the respective client.

3. Use of European AI Infrastructure

Our systems use AI components from providers such as Claude, Mistral AI, and others, which are operated entirely within the EU. This ensures GDPR compliance, data residency in Europe, and the exclusion of U.S. cloud providers (no access under the CLOUD Act).

4. Transparency & Traceability

We document the processing steps of our AI modules and disclose which models are used and how. Upon request, we provide explainable results (Explainable AI) and avoid black-box decisions wherever possible.

5. Strict Tenant Separation & Data Control

Each customer instance is processed in a logically separated environment. Optional on-premises solutions allow for full data sovereignty. Data is automatically deleted after contract termination (30 days) or at any time upon request.

6. Protection Against Discrimination & Bias

When selecting and configuring models, we focus on producing neutral and fair results. The processing of sensitive attributes (e.g., ethnic origin, religion, political opinion) is explicitly excluded.

7. Human-in-the-Loop

Our solutions follow a hybrid approach: AI supports, but does not replace, human judgment. Decisions with critical business impact are always made by humans.

8. No Surveillance, No “Shadow Profiling”

hAiner analyzes content solely for knowledge preservation—not for monitoring individuals. No profiling of employees occurs beyond their role and contributions within the system.

9. Training & Awareness

Our employees and customers are regularly trained in responsible AI usage, data ethics, and risks such as hallucinations or bias.

10. Compliance with Law and Ethics

We align with the EU Commission’s guidelines for trustworthy AI, the GDPR, and the AI Act. hAiner is committed to lawful, responsible, and ethically sound AI practices.
